Before you start
- The administrator has group management rights and has confirmed the enterprise management group to which the welcome message applies.
- Prepare accurate corporate identity description, group purpose, basic group rules and service entrance, and verify it in the test group first.

Set the scope of welcome message #
- Enter the "Group Welcome Message" configuration page and fill in an easily identifiable name for this configuration.
- Select the type: Public, Group Tag, or Group.
- The public type applies to all groups; the group label type only acts on groups that match the selected label; the group type only acts on the selected group.
- When using group tags or group scopes, double-check specific selections to avoid applying the test greeting to all groups.
The name helps administrators identify the configuration, and the actual delivery scope is determined by the type and selected group. Don't just write "test" in the name but leave the scope as public.
Fill in the information that new members really need #
- Select the message type in the welcome content area. The screenshot example is text.
- Fill in the welcome content, explaining the purpose of the group, corporate identity, rules that members should abide by, and the contact point if you need help.
- If you need to divide it into multiple messages, use the Add Message entry and check that each message can express its complete meaning independently.
- Check the "Number of replies" and select a random reply or all replies according to business needs. If rules and important information must arrive at the same time, don't break them into randomly selected separate messages.
An example could be written as "Welcome to our company's product and service group. This is for posting instructions and Q&A. Please do not send irrelevant advertisements in the group." Do not use multiple accounts to create false customer reviews or popularity.
Check trigger conditions and responders #
- Select trigger conditions such as time and number of people, and fill in the values required by the current page.
- Set the message interval and check whether new members will receive multiple messages continuously according to business needs.
- Check whether @ people are in the group and the range of people who can reply.
- If using designated members, select real staff members who clearly provide services on behalf of the business and are consistent with their division of labor.
- Click "Confirm" after reviewing the scope, content and trigger conditions.
The information in this section illustrates the configuration fields through screenshots, but it does not explain whether the time and number of people are satisfied at the same time or any of them when they are checked at the same time. It also does not explain the triggering rules for count reset and repeated group entry. Before using these combined conditions, you should verify them in the test group and do not make assumptions on your own.
Verify in test group #
Let the designated test members join the test group according to the normal process, and check whether the welcome message is sent to the correct group, whether the content is complete, and whether there are unnecessary @ or multiple replies. When not sent, check the selected range, trigger conditions, executor and account status in sequence. After the verification is completed, it will be adjusted to the official scope of application.
Check your result
- The welcome range is consistent with the intended group.
- After test members join, a welcome message that meets the set conditions appears.
- The message content, number, @ behavior and execution personnel are consistent with the enterprise service arrangements.
Frequently asked questions
Is the public welcome message only sent to the current group?
No. The screenshot shows that the public type is effective for all groups; when you need to limit the scope, use the group label or group and check the selection.
How to trigger when time and number of people are selected at the same time?
The manual screenshot does not explain the combined conditional logic. The performance of the current version should be checked through the test group and cannot be inferred based on field names alone.
Can multiple group rules be set to a random one?
If members need to read all the rules in full, it is not suitable to break them into random pieces. Combine them into complete messages, or choose a full reply setting that suits your needs.
